Call Routing & IVR
Call routing and IVR restructures your phone system around how your team works today. Every line rings the right people in the right order, callers choose who they need from a short menu, key people get direct lines, and every route ends in overflow or voicemail. Nothing goes unanswered or lands on the wrong phone, and an AI screener can be added to stop spam.

- Every line
- Typical ring-group timeout
- 10–20 s
- Overflow or voicemail on every route
- No dead ends
What is call routing and IVR?
Call routing decides which phones ring when someone calls each of your numbers, in what order and for how long. IVR, interactive voice response, is the short menu that lets callers choose a team, such as "press 1 for new enquiries". Together they make sure every call reaches the right role, and that no call simply rings out.
When does a phone setup stop fitting the team?
A phone setup stops fitting when the team grows. When the business was small, each number rang one person, often an owner. Then come lead managers, sales staff, an account team, new regions and new lines. Calls ring the wrong person, nobody picks up, and there's no menu to send callers to the team they need.
Calls ring the wrong person
Numbers still point at whoever answered them years ago.Spam eats the day
Numbers published on websites get scraped, and the team answers calls that were never business.New channels can't go live
Tracking numbers for new marketing can't be switched on because nobody knows where those calls would go.
How do we restructure your phone system?
We restructure your phone system by listing every line and what it's for, then routing each one to roles rather than people. Each line rings the right group first for a set time, then plays a short menu. Key people get direct lines, every route ends in overflow or voicemail, and prompts are recorded in a consistent voice.

Can AI screen spam callers?
Yes. An inbound AI voice agent can sit in front of a line as a call screener, blocking spam and scam callers and passing genuine callers to your team. Screening is careful by default: any caller the AI isn't sure about goes straight through to a person, so genuine callers are never blocked by mistake.
Which systems deliver it?
Call routing and IVR is delivered as phone system configuration, typically inside your existing phone system such as GoHighLevel's, with an inbound AI voice agent added where AI screening or answering is scoped. Menus can't go live until the prompts are written and recorded, so scripts are agreed early.
| System | Trigger | What it does | Package note |
|---|---|---|---|
| AI Automations | Restructure, new lines, missed calls | Line inventory, ring groups, IVR menus, direct lines, overflow, prompts | Phone system configuration in your existing platform |
| AI Voice Agents | Inbound call | AI spam screening, or full answering as an AI receptionist | Where scoped |
Where is it used?
Call routing and IVR suits any business whose phone setup was built for a smaller team: real estate investors and agencies, home services and trades, multi-location businesses and sales teams with several roles. Each gets the same approach: route to roles, ring people first, then the menu.
Call routing for cash buyers and agencies: main, state and team lines mapped to lead managers, the home buying team and disposition, with a menu and voicemail as fallback and new tracking numbers added for each marketing channel.
Proof
Our first call routing build is still in progress, so there are no results to report yet. For a US cash home buying company operating across several states, we reviewed every line and reconfigured routing for a team of lead managers, home buying specialists and a disposition manager. Routing is configured; the menus go live once the scripts and voice files are recorded.
- Main line
- Rings the lead managers first, then a five-option menu
- Home buying team line
- Its own menu, with a direct line per specialist
- Lead manager line
- Rings the head lead manager first
- Status
- Routing configured; IVR awaiting scripts
What should you know before you start?
Routing follows your team, so we design it around who does what today, and it's easy to change as roles change. Menus can't go live until the prompts are written and recorded, so we agree scripts early. AI screening passes any uncertain caller to a person, and do-not-call menu options can be added so callers can be removed from your call lists.
- Scripts take your input. We give you a checklist of every line that needs one.
- Team members can record their own greetings.
- Screening is careful by default.
Frequently asked questions
Questions
Answer
Do we need a new phone system?
Usually not. Call routing and IVR is normally configured inside the phone system you already have, such as the one built into GoHighLevel, by mapping every line, setting up ring groups, menus, direct lines and voicemail. If your current system can't do what you need, we'll tell you on the discovery call before anything is built.
Can a person answer before the menu plays?
Yes, and that's often the best setup. Each line can ring the right group of people first for a set time, for example 10 to 20 seconds, and only play the menu if nobody answers. Groups can ring in order, such as a head lead manager first, then a second.
Who writes and records the menu prompts?
Your team or ours drafts a short script for each type of line, using a checklist of every line that needs one. Prompts can be typed as text-to-speech or uploaded as recordings, and voice files can be produced with a tool such as ElevenLabs so every line sounds consistent. Team members can record their own greetings.
Can AI block spam callers without blocking real ones?
An AI call screener blocks spam and scam callers and passes genuine callers to your team. It's careful by default: any caller it isn't sure about goes through to a person rather than being blocked. That means a little spam may still reach you, but genuine callers aren't lost.
Can it change as the team changes?
Yes. Routing is designed around roles rather than individual people, so when someone joins, leaves or changes role, the right group or line is updated and callers don't notice. New lines and marketing tracking numbers can be added to the right group or menu at any time.
