System prompt

A system prompt is the standing set of instructions that sets an AI agent's role, goals, rules, tone and output format for every conversation. The person talking to the agent never sees it, but it shapes every reply the agent gives.

How does a system prompt work?

A system prompt is sent to the AI model ahead of every conversation, before anything the user types. A good one is structured: who the agent is, what it's trying to achieve, which questions to ask and in what order, what it must never do, how to hand over to a person, and how to format its output.

Small, stable facts can live in the system prompt too. Anything larger, or likely to change, belongs in the knowledge base, where it's easier to keep current.

Why does a system prompt matter for a small business?

A system prompt matters because it's where your business rules live. It decides whether the agent discusses prices, how formal it sounds, what it does with an unhappy customer and when it brings in your team. A vague system prompt gives vague, inconsistent answers; a structured one makes the agent predictable.

Prompt structure is one of the methods we teach in our AI training, because it works in any tool, even when a new model comes out.

What does a system prompt look like in practice?

In a lead qualification voice agent, the system prompt tells the agent to introduce itself as customer relations, not sales, and to ask its questions one at a time. It must never quote prices or discuss competitors unless agreed, never claim to be human when asked, and follow a set fallback for every unclear answer.
