Knowledge base

A knowledge base is the set of documents and data an AI agent answers from, such as FAQs, SOPs, policies and your catalogue. An agent is only as good as its knowledge base: if the information is missing or out of date, the answers will be too.

How does a knowledge base work?

A knowledge base gives an AI agent your own material to answer from, instead of its general training. Small, stable facts such as opening hours go straight into the agent's instructions. Everything else, from PDFs and SOPs to spreadsheets, FAQs and website content, goes into the knowledge base. Live data such as stock levels comes through a tool instead.

When a question isn't covered, a well-built agent says so and passes it to your team rather than guessing. Every unanswered question is logged, which shows you exactly what to add next.

Why does a knowledge base matter for a small business?

A knowledge base matters because it's the part of an AI agent you control. Other businesses can use the same AI model; your knowledge base is what makes the agent answer like your business. Keeping it current is ongoing work: when your services, prices or policies change, the knowledge base has to change with them.

What does a knowledge base look like in practice?

For a Spanish study-abroad agency, the chat agent's knowledge base covers course types and start dates, accommodation options, the booking and payment process, cancellation and refund rules, and visa document checklists. Questions it can't answer are labelled QUESTION in the team's records, so the team can see which topics the knowledge base should cover next.
